The Experiential Learning Coordinator is responsible for day-to-day administrative functions of the OTD program related to fieldwork and capstone education. This position coordinates the collecting, maintaining, and reporting of student fieldwork and capstone records, and ensures that record compliance and confidentiality are maintained in all administrative processes. 

The Experiential Learning Coordinator:

  • Assists the Director of Fieldwork Education (DFE) in the development and maintenance of fieldwork education sites and fieldwork education contracts/agreements in adequate number and specialty to meet program goals and outcomes.
  • Assists the Director of Capstone Education (DCE) in the development and maintenance of capstone education sites and capstone education contracts/agreements in adequate number and specialty to meet program goals and outcomes.
  • Creates and maintains all electronic education records and databases related to fieldwork and capstone education, using EXXAT.
  • Assists the DFE and the DCE with student placements as needed. Coordinates student interview schedules to facilitate fieldwork and capstone matching and placement.
  • Assists the DFE and the DCE with ongoing communication between the OTD program and the administrative, fieldwork, and capstone personnel at each fieldwork and capstone education site.
  • Assists in the development and maintenance of fieldwork and capstone education LMS courses and sites. Coordinates access to these courses by all fieldwork and capstone faculty engaged in ongoing fieldwork and capstone education of OTD students.
  • Plans, creates, and produces a variety of written materials such as fieldwork education contracts, capstone MOUs, handbooks, forms, correspondence, invoices, charts, matrices, reports, records, schedules, templates, models, and other documents of similar complexity.
  • Schedules appointments, meetings, and other engagements related to fieldwork and capstone education.

The Experiential Learning Coordinator will hold a 12-month administrative position. The position for the Experiential Learning Coordinator is posted as a remote position and requires the employee to maintain reliable high speed internet access. Evening and weekend work hours may be required.  The position will begin as a 20-hour per week part-time position with the intent to transition to a full-time position April 2024.

Qualifications:

The Experiential Learning Coordinator for the OTD Program must demonstrate the following knowledge, skills, and ability or be able to explain and demonstrate that the Experiential Learning Coordinator can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of knowledge, skill, and ability. Minimum of bachelor's degree or have documented equivalent experience in an administrative position in a service-oriented office.

  • Preferred experience and a strong understanding of the EXXAT program.
  • Strong verbal, written, and interpersonal skills.
  • Ability to project the image of the college clearly and professionally.
  • Possesses discretion when dealing with highly confidential information.
  • Computing knowledge, including strong skills in Microsoft Office (e.g., Word, Excel, PowerPoint), video teleconferencing mediums, EXXAT, Canvas, and other relevant computer programs.
  • Demonstrates confidence, discretion, and proficiency in interpersonal and team skills to interact with people at all levels effectively.
  • Demonstrates attention to detail and excellent decision-making skills in responding to high-pressure situations.
  • Demonstrates ability to multi-task, prioritize work, and manage competing priorities in a fast-paced, deadline-driven administrative office.
  • Develops database, spreadsheet, or word processing documents requiring understanding and proficiency with contemporary software applications and programs.
  • Performs complex data-entry tasks for which there are a variety of formats and procedures.
  • Ability to read and comprehend regulations, procedures, and policies and apply them to specific situations.
  • Assists the DFE and DCE with the preparation or procurement of information for accreditation/re-accreditation and other program reports as needed.
  • Ability to work in a collaborative environment.
  • Knowledge of and/or previous employment in an Occupational Therapy program.
  • Experience working with and promoting cultural diversity among students and community populations.
