Job Summary: The Assistant Director of Graduate Admissions is a shared position between Hanover College's Graduate Programs. The position is responsible for coordinating the development, implementation, and assessment of recruitment efforts of the Graduate Programs.  The Assistant Director of Graduate Admissions is responsible for the day-to-day admissions support, including coordination of the collecting, maintaining, and reporting of student records. The Assistant Director of Graduate Admissions is also responsible for managing a variety of documents, databases, and reports, while ensuring that records compliance and confidentiality are maintained in all administrative processes. The Assistant Director of Graduate Admissions will participate in all major on-campus, off-campus and virtual recruitment events (i.e. open houses, scholarship programs, lab immersions, orientations, etc.).  Auxiliary responsibilities will also be assigned based on the candidate's strengths and needs of the office.  The hybrid nature of this program allows staff to work remote; however, visits to the Hanover College campus in Hanover, IN and /or the satellite lab location in Jeffersonville, IN will require the candidate to live in the local vicinity. 

Essential Functions:
• Organize, plan and coordinate annual travel within assigned territory.
• Participate in the development, implementation, and assessment of tactical recruitment plans.
• Represent Hanover College at high schools and college fairs.
• Assigned up to 2-3 assigned late shifts per week and availability on some weekends (including Friday evening and Saturday morning/afternoon) during scheduled lab immersions/programmatic events.
• Conduct admission interviews with prospective students and parents.
• Coordinate with the Physical Therapy Centralized Application Service, Educational Testing Service, and other outside agencies involved in the admissions process.
• Assist in the development and maintenance of admissions sites and admissions contracts/agreements in adequate number and specialty to meet program goals and outcomes.
• Assist prospective students with the completion of their application including the submission of supportive documentation.
• Complete initial review of admission applications to determine applicant eligibility for admission. Contacts applicants regarding needed application materials.
• Coordinate faculty involvement in the formal review of applications, essays, and references.
• Issue invitations for interviews to applicants to whom interview has been granted.
• Represent the College in various state organizations.
• Coordinate communication initiatives with prospective and admitted students in a timely manner, directing inquiries from students, faculty, and visitors to appropriate entities across campus and within the graduate programs.
• Schedule appointments and meetings with prospective graduate students.
• Assist with exam proctoring during lab immersions.
• Provide ongoing advisement of graduate students related to progression and retention.
• Support program and accreditation requirements by assisting with data collection in respect to, but not limited, program enrollment, attrition and graduation rates, to the graduate program's Director of Admissions.
• Collect and compile data from a wide variety of sources; determines most appropriate information source and researches records to locate specific information.
• Represent the Office of Admission and graduate programs with outside constituencies (i.e., athletics, student life, parents/alumni board, etc.) as assigned.
• Assist with tours, all major on-campus, off-campus and virtual recruitment events (i.e. open houses, scholarship programs, lab immersions, orientations, etc.).
• Working knowledge of financial aid programs and policies.
• Assures nondiscrimination and equal opportunity during the admissions process for all prospective students.
• Acts as a liaison between career services and admissions.
• Assists and coordinates the review of transfer credit for graduate programs in the transcript evaluation (TES) system.
• Coordinates with the Associate Director for Graduate Studies on communicating information regarding graduate student financial aid and new student onboarding.
• Assists in outreach and engagement with committed via email and campaigns in advance of new student orientation; assists in communications regarding FAFSA completion, course registration, and student resources in MyHanover.
• Serves as the first point of contact during the admissions process for questions regarding institutional scholarships, external scholarships, and FAQs regarding federal and private student loans. Helps to establish a connection with Associate Director for Graduate Studies for financial aid packaging and processing.
• Coordinates the transfer of matriculated student data and official transcripts from relevant systems to the Office of the Registrar for processing and archiving.
• Coordinates with Associate Director for Graduate Studies on recruiting efforts including Hanover College Table Days, Grad School events, Homecoming, etc.
• Assist with maintaining accurate records of students in collaboration with the Associate Director for Graduate Studies

Other Responsibilities:
• Maintains a neat, organized, and inviting environment.
• Travels to recruitment regions other than assigned, as needed.
• Provides assistance with the day-to-day administrative functions for the graduate program's Directors and Core Faculty.
• Attend graduate program meetings as needed.
• Coordinates and attends graduate program open houses and recruitment events.
• Participates in graduate program community service projects.
• Collaborates with college personnel to support student success initiatives.
• Completes a minimum of one professional development activity annually
• Other duties as assigned.

Job Qualifications:
Education Required: Minimum of Bachelor's Degree
Preferred Requirements: Master's Degree; 3 -5 years admission experience and/or enrollment management experience.

Skills Required:

• Strong verbal, written, and interpersonal skills.
• Ability to project the image of the college clearly and professionally.
• Possesses discretion when dealing with highly confidential information
• Ability to organize and complete multiple tasks with client-centered attitude.
• Knowledge of PC Windows based computing environment.
• Participate in training as office software and/or system changes mandate.

Skills Preferred:
• Knowledge and experience working independently in databases including, but not limited to, Slate, Jenzabar, Power Phase. Canvas, Parchment.
• Visit experience management or work with event planning.
• The successful individual is a strategic thinker and planner; a solution oriented/problem solver; and has a high level of energy, creativity, and enthusiasm. The individual must be self-motivated and be able to set priorities.
• Must be flexible, adaptable and capable of handling numerous competing duties and responsibilities simultaneously. The successful candidate should possess a strong understanding of the higher education landscape.
